Red Map and Develop Ineo Multifunction Printers:

Essentials in Efficient Governance

Before July 2007, the Records Section of the Makati City Hall’s General Services Office never thought that managing documents coming in at break-neck speed was possible. Years of manual filing and collating documents slowly encroached upon their work area, turning the entire office into one big filing cabinet.  This situation prompted City General Services Officer Engr. Mario Hechanova and his staff to find a solution to this growing concern. Their answer was found in Red Map and the Develop ineo+351 Multifunction printer.

Red Map is a knowledge management solutions software that captures, manages and protects information efficiently and intelligently. Red Map can capture almost all types of vital business information ranging from e-mail, e-mail attachments, e-documents, faxes, audio files, video files, and paper documents.  Red Map users can intelligently archive, access, edit, share and search for files in a matter of seconds!  Information security wouldn‘t be a problem because of tightly secured internal controls, disaster recovery, off-site back-up and CD/DVD back-up.

With the advent of the internet, it is believed that almost 90% of all business communications occur through e-mail and other on-line transactions.   Red Map is at the forefront of this technology as it greatly increases productivity through seamless knowledge sharing.  It simplifies disaster recovery and enhances information security while easily integrating existing application and technology infrastructure.  As information aggregate and become complicated to capture, manage and protect, Red Map provides end users with the simplicity of having information at their fingertips without the hassle of manually shifting through endless corridors of dusty paper. Using information capturing software such as Red Map’s Capture Mail (for e-mail data), Capture Point (for paper documents) and Capture Link (links Windows-based ERP system and intelligent archive) facilitates data capture whether on-line or on paper.

Managing corporate knowledge is made possible by Red Map’s Manage Point and ManageAnywhere. Manage Point is a completely scalable XML-based protocol equipped with audit tracking that can easily track anyone changing or deleting information from the system. ManageAnywhere allows user to access information anywhere at any given time. This also allows creation of an ‘information portal’ for clients and suppliers to download and upload information to the user’s site.

After capturing and managing business information, another important aspect is protecting corporate knowledge, the very DNA of an organization’s existence. Red Map has three ways in which organizations can safe guard its database: Manage Point, Sure Vault and Circulate, a program that can copy or export and restore files to CD/DVD.

Makati City Hall’s Experience

After purchasing the Red Map knowledge solutions software and an ineo+351 for color documents, life in the Records section of the General Services Department was never the same. According to Abigail Astete, Assistant Records Officer who operates Red Map and the ineo+351, retrieval of files was easier and only took less than 30 seconds to locate. Astete added that since the modernization of their department via the introduction of Red Map into their system, files are now organized and preserved without eating up space and accumulating additional clutter inside their workplace.
